Privacy Notice
How RIDAN IP Limited collects, uses, stores and protects personal data.

Who is responsible
RIDAN IP Limited, trading as RIDAN IP, is the controller of personal data used for the purposes described in this Notice.
RIDAN IP Limited is incorporated in England and Wales under company number 17309696. The registered office and business address is 12 Hensley Road, Bath BA2 2DR. RIDAN IP is registered with the Information Commissioner's Office under reference ZC228953. Dr Ritchie Lewis Daniel is the Data Protection Lead.

Personal data collected
Depending on the relationship and matter, RIDAN IP may process:
- identity and contact details;
- professional and organisational information;
- inventor, applicant, ownership, filing and intellectual property matter information;
- emails, letters, meeting notes, instructions, enquiries, feedback and complaints;
- billing, payment, VAT and transaction information;
- identity, conflict, sanctions, fraud and other compliance information;
- website, device, browser and security information; and
- recruitment information where relevant.
RIDAN IP does not routinely seek special-category or criminal-offence data. Such information may nevertheless be received where relevant to a matter, complaint, accessibility request, legal obligation or recruitment process.
How information is obtained
Personal data may be obtained directly through enquiries, meetings, emails, engagement documents, instructions, invoices and website forms. Information may also come from clients, employers, inventors, counterparties, professional advisers, foreign attorneys, intellectual property offices, courts, public registers, Companies House, patent and design databases, sanctions lists, insurers, suppliers and other lawful public sources.
Why personal data is used
RIDAN IP uses personal data where necessary to:
- respond to enquiries and assess prospective instructions;
- provide patent attorney and related professional services;
- file, prosecute and manage intellectual property matters and deadlines;
- perform conflict, identity, sanctions, fraud and risk checks;
- administer billing, payments, accounts and taxation;
- handle complaints, claims, insurance and regulatory matters;
- operate secure business systems, records and continuity arrangements;
- maintain professional relationships and conduct proportionate business development; and
- manage recruitment and personnel administration where relevant.
The principal lawful bases are contract, steps taken before entering a contract, legal obligation, legitimate interests and consent where consent is required. More than one lawful basis may apply.
Sharing personal data
Where reasonably necessary, RIDAN IP may share personal data with intellectual property offices; foreign attorneys and local representatives; barristers, solicitors, experts, translators and search providers; authorised client contacts; courts, regulators and public authorities; insurers, accountants, banks and professional advisers; and technology, communications, document, accounting and cybersecurity providers.
Information may also be shared on a strictly need-to-know basis with a professional deputy, locum, consultant or successor practice for business continuity or an orderly transfer. RIDAN IP does not sell personal data.
Public records and international transfers
Patent and design procedures may require personal data to be filed with intellectual property offices or entered on public registers. Published information may be copied or indexed by third parties.
Intellectual property work is international. Personal data may be transferred outside the United Kingdom where necessary for overseas filings, foreign attorney instructions, international organisations or technology services. RIDAN IP uses an available lawful transfer mechanism and appropriate safeguards where required.
Security, technology and AI
RIDAN IP uses technical and organisational safeguards including access controls, multi-factor authentication, secure cloud services, backups, confidentiality controls and incident-response procedures.
Carefully selected automation and artificial-intelligence tools may support research, administration, drafting, document review and service delivery. RIDAN IP remains professionally responsible for the services and applies human review, confidentiality, security and data-protection controls. RIDAN IP does not make decisions producing legal or similarly significant effects about individuals solely by automated means.
Website operation and cookies
When a person visits www.ridanip.com, technical information may be processed by RIDAN IP and website infrastructure providers in order to deliver, secure and maintain the website. Such information may include IP addresses, browser and device information, requested pages, dates and times of access and related technical connection data.
The website is hosted using GitHub Pages and may utilise supporting content-delivery, security and network infrastructure operated by third-party service providers. Those providers may process technical access data and server logs as necessary to deliver, secure and maintain the website.
RIDAN IP does not currently use analytics cookies, advertising cookies, social-media tracking technologies, behavioural profiling technologies or similar visitor-tracking tools on this website.
As at the effective date of this Notice, the website does not place cookies on visitors' devices.
Website infrastructure providers may process information outside the United Kingdom. Where personal data is transferred internationally, RIDAN IP seeks to ensure that appropriate safeguards are in place where required by applicable data protection law.
Technical website data is processed for the legitimate interests of operating, securing, maintaining and protecting the website against misuse, malicious activity and unauthorised access.
If RIDAN IP introduces cookies, analytics services, advertising technologies or similar website tools in future, this Notice and any associated website disclosures will be updated accordingly.
Retention
Personal data is kept only for as long as reasonably necessary for the relevant purpose and applicable legal, regulatory, professional, insurance, tax, accounting and risk requirements.
- Client and intellectual property matter files are normally retained for at least six years after closure and may be kept longer where appropriate to the life of an intellectual property right or professional risk.
- Prospective-client enquiry information is normally retained for up to two years, with limited conflict information retained longer where necessary.
- Complaint, claim, compliance, accounting and tax records are normally retained for at least six years where appropriate.
Your rights
Depending on the circumstances, an individual may have rights to access personal data, correct inaccurate information, request erasure or restriction, object to certain processing, receive certain information in a portable format, withdraw consent and complain.
These rights are not absolute. Confidentiality, legal or patent-attorney privilege, the rights of others, legal obligations, official records and legal claims may restrict what RIDAN IP can provide or do.

Complaints
A data-protection complaint may be made to the Data Protection Lead using the contact details above. An individual may also complain to the Information Commissioner's Office. RIDAN IP encourages individuals to contact RIDAN IP first so that the concern can be investigated.
